Adhoc export process

The Adhoc export batch process can be used with any data export process that you have defined using System>Batch process menu>Adhoc export, for example, customers who export time used in RefTracker to time billing systems like DTE or Elite, will be able to schedule an automatic (daily) export of all time used.
The process works the same as all other batch processes.  A process is automatically created for every Adhoc export definition in your RefTracker system. 
By default, automatic running of these processes is turned off – you turn them on only if you need them.

To set a process to run automatically, choose the Adhoc export definition that you want to set running automatically from the box in the top right of the screen.  Then Change the Status of the process (in the Overview tab) to Enabled.  Then go to the Schedule tab and set the frequency with which you want the schedule to run and the time at which it should run.  Then set the Parameters.

Should there be any issues with the Adhoc export process, such as the process failing to run at all, the Active system administrator with be sent an email containing the details of the issue. In this way, the Systems administrator can feel confident that they will be advised of any issues in relation to the Adhoc export processes so that they do not have to manually monitor these Adhoc export process screens.

Parameters tab:
The data that will be exported by the adhoc export process you enable here is controlled by the attributes of the identically named process under System>Batch process menu>Data import/export>adhoc export.  Note that the SQL in that adhoc export definition will need to be written in a way that allows it to pick up the right data each time it runs, so for example, the SQL would need to ask for data from the last 7 days rather than specifying a specific date range.
The parameters to this background process simply control where the data extracted by that export will be placed.
The output will always be placed in the appropriate exchange/export RefTracker sub-directory.  A .bat file may be required to rename the file and move it to a place where it can be utilised or FTP’d.  Contact your RefTracker support representative for help with creating this .bat file if needed.
The output will be automatically deleted by the Housekeeping routine after Parameter 2.8 amount of time.

When appropriate you can also have a copy of the file automatically emailed according to your selection in the Parameters tab.  The file will be sent as an attachment (together with a note about the location it was saved to and the number of records exported) unless the email generated by it is more than Parameter 8.5 in size, in which case the email will contain a hyperlink to the output file:
Email data file to system administrator: tick this box if you would like the exported file emailed to the “Active system administrator” whoever that is currently set to.
Email data file to address(es):  Enter any email address(es) (separated by a semicolon – no space), that you would like this exported file emailed to. 
You can select both the Active system administrator, and other email addresses.
Here’s an example of the email that will be created showing the file location and including a copy of the file, or a hyperlink to it if it is large to email.
