System Code tables
Only customers who are translating RefTracker into other languages or local terminology, or are following instructions from their RefTracker support representative, will need to use these code tables. One of the things that your Support representative can hep with is disabling RefTracker functions system wide, using the Appfunctions code table. Because of this limited use, you need to click on System>Code tables menu>System to be able to see the code tables in this group – they do not appear in the menu structure.
The following summarises the uses for the code tables in this group:
Actions and Events code tables
These code tables define text used in RefTracker, such as the page and function names. Only customers who are translating their RefTracker system into other languages or local terminology will need to change any of these code tables.
Actions: Used to provide the labels for text areas that are used in the screens accessible from the menu lists in Question action bar.
Action – is the function that the text box appears in.
Label – is the label provided for that text box.
Events: This code table determines the text used to describe the events appearing in the History and Correspondence screens.
Application functions code table
This code table determines the page names for the functions provided by RefTracker, and the names for function that have separate permissions associated with them. It is important to translate this code table when translating systems.
It is an important code table as it provides the ability to disable a function (remove it so it no longer appear for anyone in your RefTracker system) for all users, system wide. Because the names showing in this code table, are the screen names, it is fairly easy to determine which entry needs to be disabled if you want to remove access to a particular function for all your users. However, please ask your RefTracker support representative for help if you are unsure as to which function/s to disable in this code table to achieve your desired simplification.
The four columns of this code table control:
- Function – full title used for hyperlinks embedded in a page, and for the page name in the top left of each screen.
- Enabled – you can disable a function system wide by unticking it here. Please check with your Support representative before doing this to check the full implications of disabling a particular feature system wide. Functions can be disabled individual user by individual user (as opposed to System wide) by Denying them in the user’s signon Functions tab.
- Brief description – short description used for accessing this function from the menu lists.
- Note – this is the description used to identify the function in the Functions tab of the User signon screen.
Another common use for the Application function code table is to provide names for the RefTracker functions and hyperlinks, in other languages (see the translations information in this manual).
Note that some functions have other dependencies and so cannot be disabled here:
Record time: Can be removed by disabling the Time type code table (note that the Record time Function in the Application functions code table will not disable unless the Time type code table is disabled first, so disabling the Time type costs code table is definitely the easiest way to do this).
Record costs: Can be removed by disabling the Cost type code table (note that the Record costs and payments Function in the Application functions code table will not disable unless the Cost type code table is disabled first, so disabling the Cost type code table is definitely the easiest way to do this).
Database tables
This is a table of the names of all of the Database tables used by RefTracker. If you need to change these please contact your RefTracker support representative. For example, your system may call “clients”, “requesters”, and changing the name of the “client” table will automatically change the terminology in many places (e.g. in the Advanced Search screen).
Language code table
The Language code table defines the user interface language sets available in RefTracker. If more than one language is enabled in this table, users of RefTracker will be able to easily swap between the languages using the language names (and locales if applicable to the Language they have selected) that then show on the line above the footer in every RefTracker screen.
If you need to use a language that is not already enabled in your RefTracker system you will need to contact your RefTracker support representative to have the additional language enabled. A charge will apply. If a translation is not already available for the language that you want to use you will need to provide the text translations that will be used by that new language interface, both initially, and for text changes in each new release. Altarama will provide a file of the text that needs to be translated to assist with this process. Any of the standard languages supported by computer systems can be enabled in this way.
The text that you enter in the Language column of this code table is the text that will be used in the line above the footer to allow the user to select that language so it should be the name of that language, in that language.
The Permission level setting allows you to control what levels of user can utilise that language, for example you might allow Regular users (staff users) and above to use the French language, but that setting would mean that the language is not available for clients to use. Altarama can make English only available to only support users to allow us to support systems that do not offer English.
If you are providing translations for a language and are not yet ready to make it available for use by staff or client’s you should set the permission level for that language to System administrator.
There is a programmed relationship between the Language and Locale code tables in that RefTracker automatically makes the locales for a language available, when the language is made available. So, you will ALSO need to set the Locale code table.
There is also a programmed relationship between the locales in use by the user signon’s. If a locale is in use in a signon it will appear in the Language code table, so to remove a Language, all uses of its Locales in user signon’s much first be removed.
RefTracker will attempt to obtain a culture setting (locale) from the languages defined in the client/end user’s browser. The default language set in the user’s browser will set the default language for that user of RefTracker, and will set the date format, number and currency format used with it (locale). Locale information sets the user’s preferred date format (for example dd/mm/yyyy used by Eng(Aus), or mm/dd/yyyy used by Eng(US)) and the default currency representation – the currency sign ($,£, or € for example) and the decimal separator (. or , for example). If the user selects to use a language in RefTracker for which their browser has no language locale setting specified, RefTracker will use the default locale specified in this code table. If the end user’s browser locale is not a supported language and locale in RefTracker, RefTracker will use the default locale for their language (as set in this Language code table). If the end user’s language is not sport, the default language and locale set in this code table will be used. However, over and above all of this, the End user can select a language (and locale) from the footer of the RefTracker client interface. If they do this, their choice will be stored in their RefTracker cookie and used as the default next time they use this RefTracker system.
End users set language locale information in their browser by going to Tools (or Settings)>Languages.
Staff can choose their favourite Locale using the Locale setting in their My preferences. It will control how numbers and dates are presented to them in their RefTracker interface. They can choose from Locales for the languages enabled in this Language code table.

Locale code table
In the RefTracker Language code table, you can determine the language (of the ones that you are supporting as selected in your Language code table) that will be presented to the client by default because of the locale set in their browser. If a user has a Locale for which you have not specified a language in the Locale code table, the user will be presented with the Language and Locale that you specified as the Default language in the Language code table.
For the languages you will support (selected at the Code drop down at the top of this screen), choose the locales that you want to be enabled. Enabled locales will show in the list of enabled languages that show in the bottom right of the footer of both the staff and client interfaces, if there are other locales available for the selected Language. See the information about Languages and Locales in the Language code table description above.

Staff can choose their favourite Locale using the Locale setting in their My preferences. It will control how numbers and dates are presented to them in their RefTracker interface.
Clients see the Locale set in their browser, if it is allowed by this code table. Otherwise they see the locale that is set as default in this code table as default. If you only want to support one locale (date format), and it is not already set that way, get your RefTracker support representative to set it in this code table.

URI scheme code table

The entries in this code table, as distributed, comply with the IANA standard for Uniform Resource Identifiers. All URI’s in this table will be identified by RefTracker as URL’s and presented as hyperlinks. This table can be modifiable by your organisation but is unlikely to need modifying unless specifically instructed to do so by your IT department or your RefTracker support representative.
