Using Dynamic lookups with email importing

If you use the Dynamic Lookups module, you can define a post population lookup based on the client email address that will automatically add other client contact information to the question as it is created – a big convenience for you staff!

You will need to have the DBA who set up your other Dynamic lookup definitions, create a new Post-pop lookup definition for this purpose. And that definition needs to be added to the Request form that is used for importing emails from the address(/es) monitored by RefTracker, as defined in System>Batch process menu>data import/export>Email importing. In this example Form used is the “Email import form with lookup”, and the Post population lookup has been defined to add Staff location and Client phone number to the question as it is created. So Staff location and Client phone are included in the Request form design layout as optional fields.

And the final setup step for setting up an email import form for use with Dynamic Lookups is to add the normal lookups that you use to allow the client contact details to be selected and changed when required, as shown in the screen print below. Alternatively you could train your staff to Change to a request form that already has these definitions set up in them, should they need to change the client contact details for a question created using this Email importing from.
