Using RefTracker in conjunction with Document Management systems

If your organisation uses a document management system you will want to be able to create documents and have them stored in that system, but also be able to refer to them in the responses you create in RefTracker.

You can of course take a copy of the document in the Document Management System, and add it to your RefTracker response as an attachment, however you may also be able to include a hyperlink to the document in your answer and have the document accessed directly from the Document Management system (if your Document Management system provides a means of hyperlinking to documents that are held in it).

For example Hummingbird DM 5.1.0.5 uses the following URL to allow its documents to be viewed from a web browser (and so from RefTracker). [ http://<yourDMdomain>/cyberdocs/quickstart.asp?show=VIEW:<docNumber>&noframes
where <docNumber> is the document number for the document to be viewedand <yourDMdomain> is the domain of your Hummingbird Document Management system.

If you choose to use a hyperlink in this way, don’t forget that only those who have access to your Document Management System will be able to view these documents, so these hyperlinks will most likely not be able to be used from emails sent by RefTracker to client outside of your organisation.
